Free printable and blank sheets in Word, PDF, Excel, and Google Docs
Download a blank sign up sheet template, add your event name and date, and print it or share it. Everyday layouts cover a general sign up sheet, sign in and sign out sheets, an email list, a potluck food sheet, a volunteer time-slot sheet, and a snack schedule. There are also event sheets (karaoke, talent show, chili cook-off), holiday potluck sheets with the dishes already listed, and two funny ones. Every template comes as a PDF, a Word file, and an Excel file, opens in Google Docs or Sheets, and has no email gate.

- Printable: open the PDF and print at 100% on US Letter. The table fits one page with room for 16 to 22 names
- Blank: the general sign up sheet has no categories filled in, just numbered rows for name, phone, and email

- Excel: every template has its own .xlsx file, and one workbook has the everyday layouts on separate tabs. Both open in Google Sheets
What a sign up sheet is
A sign up sheet is the list people fill in before an event: a time slot, a dish, a shift, or a snack date, with a limit on each row so two people do not claim the same job. A sign in sheet is the list you pass at the door to record who arrived, and a sign out sheet tracks who took a laptop, key, or hall pass. The downloads above include all three.
Use the potluck file when you need a dish and an allergen column, the volunteer file when each row is a shift, and the general file when you only need names. Paper works when everyone walks past the same clipboard. If people are signing up from home, an online sheet can close a row once it is full and send a reminder. The guides linked on this page cover potlucks, volunteers, snacks, and meal trains.
How to use a sign up sheet template in Google Docs
Building one from scratch in Google instead? Google Forms, Sheets, and Docs sign up sheet guide.
- 1
Download the Word version
Pick the .docx template above.
- 2
Open it in Google Docs
In Google Drive, choose New, then File upload, then open the file. Google Docs opens Word files directly.
- 3
Save as a Google Doc
Choose File, then Save as Google Docs, so you can edit and share it like any other doc.
- 4
Share or print
Share with "Anyone with the link can edit" so people add their names, or print it.
Heads-up on shared docs: anyone with edit access can change or delete someone else's name, and nobody gets a reminder. If that matters, use an online sign up sheet instead (below).

Build your sign up sheet in ChatGPT
SignupKit has a plugin in ChatGPT. Open it here: SignupKit in ChatGPT.
Describe your event in a ChatGPT conversation and it builds the sheet with slots, dates, and spots, then saves it as a draft so nothing goes live until you publish it. You can edit slots and manage who signed up from the chat too.
Your plan works the same there, and participants still sign up from a normal link with no account. ChatGPT cannot email participants or take payments for you.
