Sign Up Sheet with Time Slots

Free online time slots people book from one link

A sign up sheet with time slots lists each block of time, such as 3:00 to 3:15, and lets people claim one. The hard part is stopping two people from taking the same time. An online sheet does that for you: each slot holds only as many people as you set, a full slot closes, and everyone gets a reminder before their time.

How to create a sign up sheet with time slots

  1. 1

Create a sheet and add the date

Give it a name people will recognize in their inbox, like "Conference times, Room 12" or "Food bank shifts, Saturday".

  2. 2

    Add the first time slot

For example 3:00–3:15 pm. Set how many people it holds: 1 for a meeting, 4 for a volunteer shift.

  3. 3

    Repeat it across the day

Repeating time slots adds the rest of the run in one step at the interval you choose. The free plan adds up to 12 per run; paid plans have no cap.

  4. 4

    Remove your breaks

Delete the slots that fall over lunch or a changeover, so nobody can book them.

  5. 5

    Share one link

People open it, see which times are still open, and book without making an account.

  6. 6

    Let reminders do the chasing

Everyone gets an email before their slot, and you see the whole schedule on one screen.

Forms and spreadsheets are free and familiar, but none of them know that a time is taken.

Tips for time slots people actually keep

  • Leave 5 minutes between back-to-back meetings; they always run over
  • Turn on one sign-up per email when each person should only get one slot
  • Say where it happens in the description: room number, address, or video link
  • Ask one question if you need it, such as "What would you like to talk about?"
  • Offer a few early-morning or evening slots for people who work during the day
