Sign In and Sign Out Sheet Templates
For visitors, meetings, classrooms, and equipment
A sign in sheet records who arrived and when. A sign out sheet records who took something, or who left, and when it came back. Download either one below as a PDF to print, or as a Word or Excel file to add your own columns first. Both are free with no email gate.

How to use a sign out sheet
- 1
Write the location and week at the top
One sheet per room, cart, or key box, so a missing item has one place to look.
- 2
Fill a row when something leaves
Date, name, the item or destination, and the time out.
- 3
Fill the time in when it comes back
A row with no time in is the list of what is still out.
- 4
Initial the return
Whoever checks it back in initials the row, so nobody argues later about whether it came back.
What to put on a sign in sheet
- Location and date at the top, so a stack of sheets stays in order
- Name, printed clearly
- Time in and time out, if anyone needs to count hours or know who is still in the building
- Signature, when the sheet is a record of attendance
- Nothing private: a sheet on a clipboard is visible to everyone who signs it, so leave off phone numbers unless you need them
Sign in sheet vs sign up sheet
Every printable layout in one place: sign up sheet templates.
A sign up sheet comes before the event: people claim a time, a dish, or a job, with a limit on each. A sign in sheet is filled at the event, as people arrive. If people need to claim spots ahead of time, a sign up sheet is the better tool.
SignupKit is free for 5 sheets with 50 sign-ups each and 50 reminder emails a month, with no ads and no account for the people signing up.
