How to Plan a School Event with AI: Volunteers, Food, and Supplies

SignupKit TeamNovember 4, 20268 min read

A school event always takes more coordination than it looks like it will. A family fun night needs a gym booking, a custodian, a food plan, twelve parent volunteers, someone with a key to the supply closet, and a way to tell 300 families about it that they will actually see.

An AI assistant like ChatGPT or Claude can draft most of the plan in one sitting: the timeline, the jobs, the food and supply list. This guide walks through that, with prompts to copy, and then turns the plan into a sign up sheet that parents and teachers can fill in from one link.

Free to try, no account needed to start. Prefer the website? Make a school event sign up sheet.

Step 1: Ask the AI for an event plan

Start with what you know: the event, the date, the place, and the people. Fill in the brackets:

I'm on the PTA at an elementary school with [400] students. We're planning a [family fun night] on [Friday, February 6] from [6 to 8pm] in the [gym and cafeteria]. Expect around [250] people, mostly families with young kids. Make an event plan: a timeline from 6 weeks out to the day after, the activities, the food, and the volunteer jobs we need.

Then ask for a reality check:

What do school event organizers usually forget to arrange with the school office or the district? List things like room bookings, custodial time, insurance, and food rules.

Every district is different, so treat the answer as a list of questions for your principal, not as the rules. The common ones: whether home-baked food is allowed, whether volunteers need a background check, and who pays the custodian for evening hours.

Event ideas

If the event itself is still open, ask for options that fit the size of your volunteer group:

Suggest 8 school event ideas for a PTA with about 15 active volunteers. For each, say how many volunteers it needs on the night and how much work it is to set up.

Family fun nights, bingo nights, movie nights, a book fair, a fall festival, a science night, a talent show, and a spring carnival are the usual list. If the goal is raising money, see school fundraising ideas.

Step 2: Organize the responsibilities

Most school events break into the same five areas. Ask the AI to sort its plan into them:

Organize this plan into five areas: parent volunteers, food and refreshments, decorations, setup, and cleanup. For each area, list the specific jobs and how many people each job needs.

A typical result for a family fun night:

AreaJobsPeople
Parent volunteersActivity stations, welcome table, ticket sales10 to 14
Food and refreshmentsPizza pickup, serving, drinks table4 to 6
DecorationsSigns, balloons, theme decor2 to 3
SetupTables, chairs, station supplies, from 4:305
CleanupTables, trash, floors, from 8:005

Give each area one lead parent. The lead does not do every job. They are the person the volunteers in that area text with questions.

Step 3: Create a parent volunteer sign up sheet

Parents sign up when the ask is specific and short. "Help at fun night" gets nothing. "Run the ring toss, 6:00 to 7:00" gets filled.

Ask the AI to turn the jobs into shifts:

Turn the volunteer jobs into a sign up list. Split activity stations into two one-hour shifts. Setup and cleanup are one shift each. One line per job per shift, with times and the number of spots.

SlotTimeSpots
Setup4:30 to 6:005
Welcome and tickets5:45 to 7:002
Welcome and tickets7:00 to 8:002
Craft station6:00 to 7:002
Craft station7:00 to 8:002
Game stations6:00 to 7:004
Game stations7:00 to 8:004
Food serving6:00 to 7:303
Cleanup8:00 to 9:005

One-hour shifts matter at school events. Parents have their own kids with them and want to spend part of the night with them.

Step 4: Organize food and supply contributions

Food and supplies work best on the same sheet, as items to claim rather than shifts.

List the food and supplies we need for 250 people at a family fun night where the PTA buys pizza. Separate what the PTA should buy from what parents can donate. For donations, give a quantity for each item.

Good items to ask parents for: bottled water by the case, juice boxes, paper plates and napkins, cookies or desserts (if your school allows home-baked food), prizes for game stations, and craft supplies. Put a number on each: "2 cases of water" is something a parent can buy on the way home.

If your school has a nut-free or store-bought-only policy, put it in the sheet description and on each food row. Ask a question like "Does it contain nuts?" if you need to know.

Step 5: Use SignupKit to collect sign ups

You now have a volunteer list and a donation list. Put them on one sheet so parents see everything in one place.

Option A: Build it in ChatGPT

SignupKit has a plugin for ChatGPT and a connector for Claude. Once it is added:

Make a sign up sheet for family fun night on February 6 from 6 to 8pm in the gym, with the volunteer shifts and donation items above. Show names, and ask for the child's teacher so we can thank families by class.

It creates the sheet with every shift and item, spot limits, and times, and saves it as a draft. Review it and press Publish. You can try it before connecting an account. The MCP support page lists what it can and cannot do.

Option B: Create it on SignupKit

Create a sheet and add the shifts and items as slots. Put shift times in the time fields, not in the slot name. The classroom volunteer sign up and class party sign up sheet pages have ready layouts for smaller events.

Step 6: Share the sign up with parents and teachers

School communication is crowded. Use every channel once, and do not count on any single one:

  • The school newsletter and the PTA email, three weeks before
  • The class parent group chats: ask each room parent to post the link
  • The school app or Facebook page
  • A QR code on the flyer that goes home in backpacks
  • Teachers: a short note in the staff email, since some teachers want to volunteer too

Parents open the link and pick a job. They do not need an account.

Write a short message for class parent group chats asking for volunteers and donations for family fun night on February 6. Mention shifts are one hour, they can still enjoy the night with their kids, and they can sign up here: [link].

Example prompts for school events

  • Book fair: "Plan volunteer shifts for a 4-day book fair in the library, 8am to 3:30pm, with 2 cashiers and 1 helper at all times." There is a book fair layout if you want to skip the prompt.
  • Teacher appreciation week: "Plan a teacher appreciation week for 30 staff with one theme per day and a list of items parents can donate."
  • Field day: "Plan field day for 400 students with 12 stations. How many parent volunteers do we need, and what does each station need?"
  • Budget: "Make a simple budget for a family fun night for 250 people, with pizza, prizes, and decorations."
  • After the event: "Write a thank-you note to volunteers and families, and a list of what to do differently next year."

School event planning checklist

Six weeks out

  • Date approved by the principal and on the school calendar
  • Rooms booked, custodial hours arranged
  • Food rules and volunteer requirements checked with the office

Three weeks out

  • Sign up sheet published with volunteer shifts and donation items
  • Link in the newsletter, group chats, and a flyer home

One week out

  • Every shift at least half full; ask directly for the gaps
  • Supplies bought, donations confirmed
  • Reminders on, if the sheet collects emails (AI assistants cannot email parents for you)

On the day

  • A printed copy of the sign ups at the welcome table
  • Leads for each area know who is coming
  • Cleanup crew confirmed

FAQ

How do I plan a school event with AI?

Give ChatGPT or Claude the event, date, place, and number of people, and ask for a timeline, a job list, and a food and supply list. Then turn the jobs into one-hour shifts and share them on a sign up sheet.

How many parent volunteers do I need?

List every job and how many people it needs at once, then count the shifts. A family fun night for 250 people usually needs 25 to 30 volunteer spots across the evening.

Can parents sign up without an account?

Yes. They open the link, enter their name, and pick a job or item.

Can ChatGPT email the parents?

No. ChatGPT can write the message, and the sign up sheet can send reminders to people who gave an email address, but the AI cannot send email for you.
