> For club fairs, booths, open houses, and mailing lists

An email sign up sheet is the clipboard at a club fair, a craft booth, or an open house where people leave their name and email to hear from you. Download the printable below, or put a QR code next to it so people can sign up on their phone and you skip typing up handwriting later.

- No login required for participants
- Free plan available
- Mobile-friendly signups

## Club sign up sheet tips for the activities fair

- Bring two clipboards, so a line does not form behind one pen
- Write the first meeting date and room at the top of the sheet, then post the same line on the table
- Ask for a school email if your club writes to students there
- Number the rows. "We have 40 sign-ups" is a good line for the next person walking by
- Type the list up the same night, while you can still read the handwriting

## Getting emails you can actually read

Handwritten emails are where lists go wrong: an l that looks like a 1, a missing letter, a smudge. Ask people to print in capitals, and read each one back while they are still at the table.

Say what they are signing up for in one line at the top, like "Monthly newsletter, about 1 email a month". People who know what to expect open the emails, and a clear line keeps your list honest about why each person is on it.

## Paper or online?

SignupKit is free for 5 sheets with 50 sign-ups each and 50 reminder emails a month, with no ads and no account for the people signing up.

| | Printed sheet | Online sheet with a QR code |
| --- | --- | --- |
| Typos in emails | Common | People type their own |
| Typing it up afterwards | Yes | No, export the list |
| Works with no signal | Yes | No |
| Sign up from home later | No | Yes, same link |

_Many tables use both: a QR code for most people, and the clipboard for anyone without their phone._

## FAQ

### What should an email sign up sheet include?

A line saying what people are signing up for, then numbered rows for name and email, and phone only if you will use it. Put the club or organization name and the date at the top.

### Is there a free club sign up sheet template?

Yes. The email sign up sheet on this page works as a club sign up sheet: club name at the top, then name, email, and optional phone. It downloads as PDF, Word, and Excel.

### How do I turn a paper sign up sheet into an email list?

Type the rows into a spreadsheet the same day, with one column for name and one for email, then import that file into your email tool. The Excel version of the template already has those columns.
