A sign-in sheet is the opposite: it records who arrived, usually with a time in and a time out. If you need the second one, download the sign-in template. If you need the first, the rest of this guide is the columns that belong on it. [Make a free sign up sheet](https://www.signupkit.co/auth) --- ## The columns that belong on almost every sheet Four fields cover most events: | Column | What it prevents | | --- | --- | | The thing being claimed | A dish, a shift, a date, or a job. Vague rows ("help") stay empty. | | How many people that row needs | So the fifth person does not sign up for a job that needs two. | | Name | So you can see who owns it. | | A note | The dish, the allergen, the T-shirt size, or the phone number for the day of. | Add a fifth column only when you will use the answer. Every extra question is a reason someone closes the page. Event, date, and location go at the top, once. They do not need a column. --- ## Potluck: category, dish, allergens Guests need to see what is already claimed, or you get four lasagnas and no salad. A useful potluck sheet has a category (main, side, salad, dessert, drinks, supplies), the person's name, the dish, and allergens. Put the allergy note where the cook sees it before they shop. [FARE](https://www.foodallergy.org/resources/facts-and-statistics) reports about 1 in 13 children with a food allergy, and about 33 million people in the US with at least one. "Nut-free house" in the header beats a text the morning of the party. Food safety is not a column, but it is the reason the sheet should also assign serving spoons, ice, and a person to put the perishable trays away. The USDA says perishable food should not sit between 40°F and 140°F for more than [2 hours, or 1 hour above 90°F](https://www.fsis.usda.gov/food-safety/safe-food-handling-and-preparation/food-safety-basics/danger-zone-40f-140f). "Setup, 7:00–9:00 am, 6 people, tables and tents" gets a yes. "Volunteers needed" does not. Shifts of two to three hours fill. All-day shifts sit open, and they are the ones people cancel. Overlap check-in with setup so the doors do not open with nobody at the table. Ask for a phone number only if you will use it the day of the event. Ask for a T-shirt size only if you are ordering shirts. --- ## Snacks: one family per date, and the allergy rule in the description A team or a classroom snack sheet is a calendar. One row per game or per Friday, one family per row, a reminder before their turn. Two families on the same day is the failure the sheet exists to prevent. Write the rules once, in the description: how many kids, the budget, and the allergy line. Orange slices, bananas, and water are the safe default. Cheese sticks are dairy. Many granola bars contain nuts. The [snack sign up sheet](https://www.signupkit.co/snack-sign-up-sheet) page has a short list of what to bring and what to label. --- ## Meal train: one night, a drop-off window, and what is already coming A meal train is a calendar for a family that should not have to cook: a new baby, a surgery, an illness, a death. One household per night. The sheet has to say who is eating, allergies and dislikes, the drop-off window, whether containers should be disposable, and what the family already has too much of. Lasagna on Tuesday and lasagna on Wednesday happens when the second cook cannot see the first. Ask the family before you open the sheet. Some want every other day, not every day. Do not put the street address on a sheet that anyone with the link can open. Anyone with edit access can change someone else's row, and nobody gets a reminder. That is fine for a ten-person office potluck. It is a poor fit for a season of snack duty or a volunteer shift that has to be filled.
