# How to Plan a Thanksgiving Potluck with AI: Menu, Quantities, and a Sign Up Sheet

A Thanksgiving potluck has one job the host cannot hand off: making sure the table has a turkey, enough sides, and something that is not pie. Everything else, the menu ideas, the quantities, the reminder to bring serving spoons, an AI assistant can draft in a few minutes.

This guide uses ChatGPT for the planning, because that is where most people start, but the prompts work the same in Claude or Gemini. The plan then becomes a sign up sheet where family, friends, or coworkers claim a dish from their phone.

Thanksgiving 2026 is Thursday, November 26. If you are reading this in early November, you have time to do it properly.

## Step 1: Give the AI the facts it cannot guess

ChatGPT will happily plan a potluck for "some people". The result is generic. Tell it the four things that change the menu:

- **How many people**, and roughly how many are kids
- **Where it is**: a home with an oven, an office with a microwave, a church hall with a warming kitchen
- **Who is cooking the turkey**, or whether there is one at all
- **Dietary needs** you already know about: vegetarian guests, a gluten-free cousin, a nut allergy

Copy this and fill in the brackets:

> I'm hosting a Thanksgiving potluck on November 26 for [24] people, [6] of them kids. It's at [my house, with one oven]. I'm making the turkey. Two guests are vegetarian and one is gluten-free. Plan a potluck menu by category (mains, sides, salads, bread, desserts, drinks, supplies). For each category, tell me how many dishes we need and give two or three example dishes that travel well and reheat without an oven.

The "reheat without an oven" line matters more than it looks. A house with one oven and a turkey in it has no room for twelve casseroles at 350°F.

---

## Step 2: Check the quantities, not just the menu

AI assistants are good at menus and loose with numbers. Ask for the math separately, then check it against a rule of thumb.

> For [24] guests, how big should the turkey be, and how many pounds of mashed potatoes, stuffing, and gravy do we need? Show the per-person amount you used.

Numbers worth checking the answer against:

- **Turkey**: about 1 to 1.5 pounds of whole bird per person if you want leftovers. For 24 people that is a 24 to 30 pound total, which is often easier as two smaller birds or one bird plus a turkey breast.
- **Thawing**: the USDA says to allow [about 24 hours for every 4 to 5 pounds](https://www.fsis.usda.gov/food-safety/safe-food-handling-and-preparation/meat/lets-talk-turkey-roasting) in the refrigerator. A 20 pound turkey needs four to five days. Put that date in your calendar now.
- **Sides**: one dish per 8 to 10 guests per category is a safe starting point. Our [how many dishes per potluck](https://www.signupkit.co/how-many-dishes-per-potluck) guide has the full table by guest count.
- **Desserts**: people over-bring dessert. Cap it.

If the AI's numbers are far off these, ask it to redo them. It usually corrects itself when you point at the per-person figure.

---

## Step 3: Turn the menu into categories with limits

This is where most potlucks go wrong. "Bring a side" produces five mac and cheeses. A sheet with **limits per category** does not.

Ask the AI to write the plan in the shape of a sign up sheet:

> Turn this menu into a sign up sheet. One row per item people can claim. Give each row a short name and the number of people who can take it. Keep the turkey off the list since I'm making it. Include supplies: plates, cups, napkins, serving spoons, ice, foil, and take-home containers.

A typical result for 24 people looks like this:

| Slot | Spots |
| --- | --- |
| Ham or second main | 1 |
| Stuffing | 2 |
| Mashed potatoes | 2 |
| Sweet potatoes | 1 |
| Green bean or vegetable side | 2 |
| Vegetarian main | 1 |
| Salad | 2 |
| Rolls or cornbread | 2 |
| Cranberry sauce | 1 |
| Gravy | 1 |
| Pie | 2 |
| Other dessert (not pie) | 1 |
| Drinks | 2 |
| Plates, cups, napkins | 1 |
| Serving spoons and foil | 1 |
| Ice | 1 |

That is 23 spots for 24 people, which is right: some guests will come as a couple and bring one dish.

---

## Step 4: Put it on a real sign up sheet

A menu in a chat window does not stop duplicates. A sign up sheet does, because each row closes when it is full and everyone can see what is taken.

You have two ways to get from the AI's plan to a link you can send.

### Option A: Build it inside ChatGPT

[Add SignupKit to ChatGPT](https://chatgpt.com/plugins/plugin_asdk_app_6abf364b1fc481919bd363c2ae8f6ba4)

SignupKit has a plugin for ChatGPT (and a connector for Claude). Once it is added, you ask in plain words:

> Make a Thanksgiving potluck sign up for November 26 at 3pm from the menu above. Show people's names next to what they're bringing, and ask "What are you bringing?" so I can see the actual dish.

It creates the sheet with the slots, spots, and date filled in, and saves it as a **draft**. Nothing is shared until you open it and press Publish. You can try it before connecting an account; it gives you a link to claim the draft. The full list of what it can and cannot do is on the [MCP support page](https://support.signupkit.co/mcp).

### Option B: Paste the list into SignupKit

If you planned in a different assistant, [create a sheet](https://www.signupkit.co/create) and type the rows from Step 3 in as slots with their spot limits. It takes about five minutes for a list this size.

Either way, turn on **show participant names** for a potluck. Seeing "Aunt Linda: sweet potato casserole" is what stops the second sweet potato casserole.

---

## Step 5: Share the link where your group already talks

Send the link once, in the place people actually read:

- **Family**: the family group text. Pin it if your app allows.
- **Friendsgiving**: the group chat, plus a reminder a week out. A [Friendsgiving sign up](https://www.signupkit.co/friendsgiving-potluck-sign-up) uses the same layout.
- **Office**: the team channel or the all-staff email. For a work lunch, add a slot for "set up at 11:30" and "clean up at 1:00". The [office potluck sign up](https://www.signupkit.co/office-potluck-sign-up) page has a ready layout.

Guests open the link and claim a row. They do not need an account or an app.

Ask the AI to write the message for you:

> Write a short, friendly text to my family asking everyone to pick a dish for Thanksgiving using this link: [link]. Mention it's first come, first served, and ask them to sign up by November 19.

---

## Step 6: Fill the gaps before the week of

Check the sheet about a week out. Three things usually need a nudge:

- **Empty essentials.** Gravy and cranberry sauce are the rows nobody picks. Ask someone directly, or take them yourself.
- **Allergies.** If you asked a question, read the answers. A gluten-free guest needs at least one main and one side they can eat, and it helps if the cook labels it on the table.
- **Supplies.** Serving spoons are the single most forgotten item at any potluck.

If your sheet collects emails, SignupKit can send a reminder a day or two before. AI assistants cannot email your guests for you, including through the plugin, so reminders are a setting on the sheet, not a chat request.

Food safety is worth one line in your message: the USDA's rule is that perishable food should not sit out for more than [2 hours](https://www.fsis.usda.gov/food-safety/safe-food-handling-and-preparation/food-safety-basics/danger-zone-40f-140f). Assign someone to put the leftovers away.

## More Thanksgiving prompts to copy

- **Work potluck**: "We're doing a Thanksgiving potluck at work for 30 people in a conference room with one microwave and no oven. Suggest dishes that are good at room temperature or reheat in a microwave."
- **Small group**: "Plan a Thanksgiving potluck for 8 people where I make the turkey and everyone else brings one thing. Make sure we're not missing anything essential."
- **Make-ahead**: "Give me a cooking timeline for the host, working back from serving at 3pm on Thursday, including when to start thawing a 16 pound turkey."
- **Picky guests**: "Suggest three Thanksgiving sides that are vegetarian and gluten-free and that most kids will eat."
- **Leftovers**: "Write a short note for the sign up sheet asking guests to bring containers for leftovers."

If you want a list of dishes rather than a plan, the [Thanksgiving potluck ideas](https://www.signupkit.co/thanksgiving-potluck-ideas) page has them by category.

## Last-minute checklist

- Turkey bought, and in the fridge thawing by the date you worked out in Step 2
- Sign up sheet published and sent, with a date to sign up by
- Every essential row claimed: gravy, cranberry, rolls, a vegetarian main
- Serving spoons, ice, and foil assigned
- Oven and microwave plan: who needs heat, and when
- A table or counter cleared for drop-off
- Labels or sticky notes for allergens
- Containers for leftovers

## FAQ

**Can ChatGPT make a sign up sheet?**
ChatGPT can write the list. On its own it cannot host a sheet that people fill in. With the SignupKit plugin added, it creates a real sign up sheet as a draft that you review and publish.

**How many dishes do I need for a Thanksgiving potluck?**
Roughly one dish for every 3 to 4 guests overall, with one main per 8 to 10 guests. For 20 people that is about 6 sides and salads, 2 or 3 desserts, drinks, and supplies, plus the turkey.

**Who brings the turkey at a potluck?**
Usually the host, since it needs the oven for hours and does not travel well. If someone else is bringing it, put it on the sheet as its own row with one spot so it is clearly owned.

**How do I stop people bringing the same dish?**
Use a sheet with a spot limit on each row and names visible. Once "mashed potatoes" is full, nobody else can pick it.

**Do guests need an account to sign up?**
No. They open the link, enter a name, and pick a dish.
